POSITION SUMMARY: Rehabilitation administrative assistant to support Psychiatric Rehabilitation Department, the Director of Vocational Rehabilitation and Program Managers/Teams. Primary responsibilities include: coordinating schedules, deadlines, and overall administrative support for rehabilitation operations; managing delegated projects such as meetings (internal and external), providing administrative support for projects/events and effectively handling all required Division of Vocational Rehabilitation (DVR) and rehabilitation program reporting and billing data. Create a positive experience for people served, staff and guests through professional conduct and trauma informed customer service.

HIRING SALARY RANGE: $22.00/hr - $25.50/hr


  • Ensure prompt, accurate and efficient handling of DVR reports/billing complete with accurate statuses and information in a timely manner. Maintain employee training handbook with up-to-date information regarding DVR billing requirements.
  • Create metrics reports for program mangers ensuring data is accurate and easily understood.
  • Pull IPS Quarterly Report data, review and submit by the 15th of each month following the end of quarter
  • Organize, compose and produce letters, memoranda, reports and other documents, ensuring grammar, spelling and punctuation are all correct. Compose some routine correspondence. Generate and submit necessary reports.
  • Maintain files, records, spread sheets and other documentation as needed
  • Maintain the Insite pages for the Psychiatric Rehabilitation programs
  • Complete requisitions for the Psych Rehab VP and program managers
  • Attend all DVR meetings, 2Succeed/MHCD administration or other meetings as requested
  • Organize internal meetings by reserving meeting spaces, setting agendas, and taking notes, for VP and managers.   Coordinate external meetings with designated partners including meeting logistics (food, room set up, information packets,) and providing appropriate meeting follow-up when needed.
  • Support large projects and events within the Psychiatric Rehabilitation Department and Program Managers and VP.
  • Provide administrative coordination and communication between other executive and management functions
  • Maintain accurate and timely professional communication
  • Create a positive experience for people we serve, staff and guests through professional conduct and service.
  • Maintain a trauma informed environment of wellbeing.
  • Perform other duties as assigned

Job Requirements

EDUCATION:   High School Diploma or equivalent, some college preferred.            


  • Minimum of 2 years Administrative Assistant experience.
  • Supervisory and/or human service/medical background is preferred.
  • Event planning/ marketing experience a plus.


  • Proficiency with software applications, Microsoft Word, Excel, and Outlook. Intermediate understanding of computer language and functionality.
  • Interest in working with adults.
  • Ability to type 25 wpm.
  • Must develop proficiency in Avatar system for signing in/out members.
  • Ability to engage members and multitask duties assigned.
  • Strong organizational skills and ability to create systems.
  • Knowledge and use of grammar, spelling, punctuation and word definitions. Communicate in a positive manner, both verbally and in writing.
  • Able to critically think through situations or circumstances that will allow you to work independently. Ability to resolve problems quickly and objectively.

  • Must be able to work well with the people we serve. Must be able to work with a diverse population.
  • Knowledge and understanding of trauma-informed care principles/practices.  

TYPICAL PHYSICAL DEMANDS: Ability to sit, stand, bend and reach, operate standard office equipment such as phone, computer, facsimile, copier/printer/scanner, and other business machines. Occasional lifting up to 20 lbs.

MACHINES AND EQUIPMENT TO BE USED: Computers, calculators, fax machines, copiers, telephone and a variety of other office/clerical equipment.
