Job Description

POSITION SUMMARY: Support the VP of Diversity & Inclusiveness. Provide administrative support to Diversity & Inclusiveness department.

ESSENTIAL JOB FUNCTIONS:

      • Maintain Outlook schedule and e-mail for VP of Diversity & Inclusiveness
      • Provide administrative support for Diversity & Inclusiveness programs and projects:
        • Support Employee Resource Groups (ERGs) and Diversity Roundtables (e.g., reserving space, maintaining RELIAS listings, sending meeting reminders, etc.)
        • Coordinate Diversity & Inclusiveness custom training/professional development requests
        • Assist in maintaining the Diversity & Inclusiveness InSite page
        • Support social networking efforts
        • Coordinate community outreach efforts
        • Support ASL interpreter requests management
        • Perform other program and project support tasks, as assigned
      • Produce, submit, and organize letters, memoranda, reports, meeting agendas, and other departmental documents
      • Maintain departmental memberships in Diversity & Inclusiveness organizations
      • Coordinate and collaborate with other administrative staff throughout the organization
      • Prepare travel and conference requisitions
      • Coordinate departmental interviews
      • Sort and distribute incoming mail and prepare outgoing mail.
      • Copy/scan/fax information
      • Order office supplies and equipment; coordinate basic office maintenance and janitorial needs
      • Contribute to an organizational culture of respect, hope, and personal accountability regarding Diversity & Inclusiveness
      • Promote cultural proficiency in all aspects of the organization’s functions and programming
      • Perform other duties as assigned

    SKILLS AND COMPETENCIES:

    EXPERIENCE: Front office and/or customer service experience preferred

    EDUCATION:   Bachelor’s degree

    • High level of comfort with various software, including Outlook, Word, PowerPoint, Excel, etc.
    • Excellent oral and written communication skills
    • Bilingual a plus (Spanish, ASL, etc.)
    • Strong desire and ability to connect with people from diverse backgrounds
    • Demonstrated commitment to cultural self-awareness
    • Flexible work and communication styles
    • Ability to work effectively as part of a team
    • Highly detail oriented, organized, reliable, and consistent
    • Able to critically think through situations or circumstances that will allow you to work independently. Ability to resolve problems quickly and objectively.

    SUPERVISORY RESPONSIBILITIES:   None

    TYPICAL PHYSICAL DEMANDS: Ability to sit, stand, bend and reach, operate standard office equipment such as phone, computer, facsimile, copier/printer/scanner, and other business machines. Occasional lifting of up to 40 lbs.

    MACHINES AND EQUIPMENT TO BE USED: Computers, calculators, fax machines, copiers, telephone and a variety of other office/clerical equipment.
