Job Description

POSITION SUMMARY: Assist in all areas of the payroll department including but not limited to maintaining payroll records and database systems. Coordinate between HR and Payroll on data integrity and maintaining filing systems.

SALARY RANGE: $16/hr. – $18.hr.

ESSENTIAL JOB FUNCTIONS:

  • Maintains Eco-Passes.
  • Enters Vocational workers into the HR/Payroll & Time systems.
  • Runs correction payroll checks when an employee did not enter their time in correctly.
  • Maintains the supplementary payroll for all employees.
  • Monitors the back end of HR/Payroll for new hire data integrity.
  • Does due diligence process for unclaimed checks, which are usually Vocational or Flex checks.
  • Maintains employee payroll hard copy files.
  • Responsible for the date retention and file destruction for the employee hard copy file system.
  • Gathers employee information for the Auditors.
  • Processes employee requests for verification of employment.
  • Assists with the mailing of W2 forms.
  • Runs the month end report for Great West Insurance and Full-time Employees (FTE).
  • Runs the month end report for Vocational labor hours for forecasting and budgeting.
  • Responds to all annual censuses.
  • Handles ad hoc requests for information from other accounting team members.
  • Responsible for employee photos being transferred into the HR system.
  • Perform other duties as assigned.

EDUCATION:   High school diploma or equivalent and some college courses.

EXPERIENCE:   Some experience in an office environment using spreadsheets and data bases. Filing and data entry experience is helpful.

SKILLS AND COMPETENCIES:

  • Working knowledge of computers.
  • Basic Excel skills.
  • Ability to organize tasks, plan schedules and meet deadlines.
  • Detail oriented and organized.
  • Exercise discretion with confidential and sensitive personnel information.
  • Must be able to work in a diverse environment.

SUPERVISORY RESPONSIBILITIES:   None

MACHINES AND EQUIPMENT TO BE USED: Computers, calculators, fax machines, copiers, telephone and a variety of other office/clerical equipment.

TYPICAL PHYSICAL DEMANDS: Requires sitting, standing, bending and reaching. May require lifting up to 50 pounds.   Requires manual dexterity sufficient to operate standard office machines such as computers, fax machines, the telephone and other office and/or clinical equipment.

WORKING CONDITIONS: May require occasional evening or weekend hours.
